Billing Questions

How much will it cost me?

Most of my clients average an invoice of $55.00 to $200.00 per month, for monthly or semi-monthly services.

How will I be billed?

Lux Bookkeeping does not require any minimum monthly dollar or hour investment, I am just here when you need me. I strive to run my business with honesty, and that includes up front pricing and accurate estimates. I never want to surprise you with big bills or high prices.

Payment Policy

Work is billed monthly and paid on a retainer basis. All work is completed at the hourly rate which is stated in your straight forward contract.

Invoices for ongoing services are sent out every two weeks and due on the date stated on the invoice. Regular services will be interrupted by an overdue account. Payments received past the due date will incur a 2% interest charge per month, until the account is settled in full.

Do I need to sign a contract?

Yes, if you are an on-going client I have a simple and straightforward, one-page contract for you to sign. It outlines what I will do for you, my client confidentiality policy, payment policies, and my service guarantee.

Since my clients are the sole judge or my performance, if at any time you are unsatisfied with my work you may cancel your contract with written notice to Lux Bookkeeping.

Do I need to purchase the QuickBooks software?

Not necessarily – it depends on your daily business needs. I own my own licensed Accountant edition of the Intuit QuickBooks software for each year all the way back to 2004. If you do not have need of the daily functions in QuickBooks I can host the file for you.

Is my business too small?

Never.

I am focused on small and home-based businesses, the self-employed and entrepreneurs. I am here to help whether you need two hours of bookkeeping a year, or ten hours each week.

I'm not located in Central California, can you still help me?

Yes, of course! I offer completely remote services for both local and long-distance clients. Utilizing the most secure and modern project communication tools and remote access services, I ensure all my client’s projects are up to date no matter where in the world they might be.

Can you help me do my bookkeeping myself?

Yes, I offer bookkeeping and QuickBooks training so that you can perform bookkeeping functions for your business or personal finances yourself. I provide customized training packages so you can spend as little or as much time as you have to invest, and let me do the rest.

Why should I hire a bookkeeper?

Why hire a bookkeeper instead of a CPA (Certified Public Accountant)?

There are many good reasons to hire a bookkeeper instead of a CPA.

CPA’s are great for getting taxes done, but most charge $100 an hour or more and specialize in tax-centralized knowledge. They do not hone in on the day-to-day details of your business. I offer bookkeeping services at a fraction of the cost, and since I specialize in QuickBooks record keeping year-round, I am an expert in what I do.

I do encourage all of my clients to work with a CPA or EA (Enrolled Agent) to have their taxes properly prepared each year. Lux Bookkeeping works closely with many of our current clients CPA’s to ensure easy transfer of information at the end of the year for pain free, timely, and accurate tax preparation.

Why should I outsource my bookkeeping?

What are your hours?

How much experience do you have? Do you have references?

I have been using QuickBooks since 2001 and started Lux Bookkeeping in 2006 – that’s ten plus years of using the online and desktop version on a daily basis. If QuickBooks can do it, I can make it work.

I also have excellent references, available upon request after completion of a complimentary consultation. Because I strive to offer great customer service, many of my clients have been with me since the beginning. You can also review my skills and endorsements on my LinkedIn profile.

Can I trust you with my financial data and other sensitive information?

Yes, I take my responsibility to keep your data safe at all times seriously; So seriously that I have had zero issues since I started in 2006.

I pledge that all client information I receive is treated with confidentiality and the utmost respect. Physical records that are taken off of client’s premises are stored securely in a locked metal filing cabinet unless currently being worked on, or until returned. All electronic records are on secure servers with high security passwords and firewall protection.

How do I get my documentation to you? Do you require that I scan or mail paperwork?

The simple answer is however is convenient for you! I will work with you to come up with the best system for your needs. I am open to using your current system, and also currently utilize Google Drive, Dropbox, Trello, and more.

What is bookkeeping, and how is it different from accounting?

Bookkeeping is the data entry part of accounting, and, so it is a piece of the accounting puzzle. It is the record keeping of daily business transactions, such as paying bills, invoicing customers, receiving payments, and reconciling accounts.

Do you help with more than just bookkeeping?

Yes! I can assist you with budgeting, cash flow management, financial statements, customized reports and forms, business planning, sales tax, administrative services, and even graphic design!

How long will it take to complete my bookkeeping?

Most projects are completed within 3-5 business days, or one week. Complicated and more intensive projects may take longer.

Do you offer catch-up bookkeeping?

How do I keep my QuickBooks file secure?

There are many precautions you can take to keep your QuickBooks file secure. Here are some tips and tricks:

      • Only allow personnel access to your QuickBooks file if needed
      • Set up an administrator user and password for your file
      • Ensure all personnel have an individual QuickBooks user and password
      • Ensure that your administration password and personnel passwords are secure. The best passwords include numbers, punctuation and mixed case. This type of password is exponentially harder to discover than a simple phrase or word. Memorize your password and do not store it in an obvious location, if at all.       • Do not allow bookkeepers and financial personnel to sign checks or have direct access to bank accounts; keep these types of tasks separate
      • Back-up your financial data regularly, preferably not on your local hard drive
      • Keep your file in one place, and do not move it from computer to computer if possible
      • Setup a firewall to secure your Internet connection

Will I receive reports and financial statements?

Yes! I believe there is a wealth of information to be found in QuickBooks reporting and financial statements. Together we will customize and tailor your reports to fit your unique business needs.

Do you support PayPal and eBay sellers?

Yes, I have helped many sellers on PayPal and eBay start tracking their online business and organize their sales, including sales tax. I treat PayPal as a regular bank account, tracking all expenses, sales and other transaction just as you would in a normal checking account, including monthly reconciliations.
